For this example, we will say the first thing we want to know is the overall total sales for each salesperson.

  1. Drag Salesperson to the Row drop area.
NOTE: The grid displays summary totals of all sales for each salesperson.
  1. Drag Customer.CompanyName to the right of Salesperson (2nd position) in the Row drop area.
  2. Select the Collapse All button Collapse All on the toolbar.

The Pivot View instantly begins to take on a new personality. We now have a summary report showing the sum totals of all sales, per customer, made by each salesperson.

For the purposes of this tutorial, we will say that we only want to see the sales information for specific companies. Again, pay particular attention to the number of records displayed at bottom left corner of the Grid area.

  1. Click on the drop-down arrow at the very right end of the Customer.CompanyNames header to display a list of all companies in the database.
  2. Left click and drag on the bottom right corner to expand the drop down menu so that it displays as many of the listed names as possible.
  3. Remove the checkmark from the All box at the top of the list and select the following companies:

  1. Select the Filter button to apply the visual filter.
Summary Drilldown
Summary Drilldown
By now, you may be wondering what is meant by the terms summary data, summary totals, or summary view. The data displayed in any one cell of the Pivot View is actually the product of underlying data - often comprised of multiple records (line-items). To see a complete breakdown of all the records that make up the number displayed in a particular cell (referred to as the originating cell), we simply perform a drilldown function:

  1. Double-click on the numeric value listed under UnitPrice for Ernst Handel, as sold by Andrew Fuller ($245.60).
NOTE: The result is called a Drilldown View. Essentially, it is a fully functional Grid View that has been pre-filtered and formatted to display all the records that make up the summary value in the originating cell. In this example, we can see from the drilldown that Andrew Fuller had eleven (11) sales to Ernst Handel.
  1. Right-click on the footer, directly under the UnitPrice column, and choose SUM from the menu.
NOTE: Notice the dollar-amount displayed in the footer bar is the same as the originating cell.
  1. Click on the Invoice Pivot View tab at the top left of the screen to return to the Pivot View.
  2. Select the Collapse All button Collapse All on the toolbar.

The arrangement of the fields in the Column and Row drop areas can be critical to attaining the best perspective of the data (depending on the goal of the analysis). As with the Grid View, the order of the fields in any of the drop areas can be easily changed with a simple drag-and-drop function.

  1. Swap Salesperson and Customer.CompanName in the Row drop area.
NOTE: Notice the dollar-amount displayed in the footer bar is the same as the originating cell.
  1. Select the Collapse All button Collapse All on the toolbar, once again.
  2. Expand Ernst Handel.
  3. Drill-down on the numeric value listed under Quantity for Ernst Handel, as sold by Andrew Fuller (549).
NOTE: A second drilldown opens, displaying the exact same records as the first - the originating cell is based on the same line-items. Still, the drilldowns are completely independent of each other, making it possible to modify one without affecting the other.
  1. Click on the Invoice Pivot View tab to return to the Pivot View.
