Grouping Data
Grouping Data
Grouping the data in the grid can make it easier to read and analyze. You can group (and subgroup) by any field, depending upon the analysis to be performed.

  1. Drag Salesperson from the column headers to the Group drop area at the top of the Grid panel.  The data within grid is instantly grouped alphabetically by salesperson.
  2. Right-click on the Salesperson field header (either in the View Properties panel or the Group field) and select COUNT Count from the Group Summaries submenu. In this instance, the figures in the group lines indicate the number of records (sales) contained within each group.
  3. Expand Salesperson: Andrew Fuller and scroll down to briefly view the various line items (sales).
  4. Click on the Collapse All Groups button Collapse All Groups on the toolbar (second button from the right) to collapse Salesperson: Andrew Fuller.

Subsequently created filters can replace an existing filter or be additive. Additive filters append to existing filters. For the purposes of this tutorial, we will say that we only want to see the sales information for specific products sold to the previously selected companies. Once again, pay particular attention to the number of records displayed at bottom left corner of the grid panel.

  1. Move the mouse over the ProductName header to reveal the small drop-down arrow at the very right end of the field.
  2. Click on the drop-down arrow to display a list of all products in the database.
  3. Remove the checkmark from the All box at the top of the list and select the following products:

  1. Select the Filter button to add the visual filter to the existing filter.
NOTE: Notice the number of records displayed has, again, significantly decreased.
  1. Expand Salesperson: Andrew Fuller and scroll down to briefly view the various line items (sales). The number of records (sales) has been significantly reduced, based on the criteria of the combined visual filters.
  2. Collapse the Salesperson: Andrew Fuller group.
TIP: To show the active filter select the Layout Options button Layout Options and select Show Filter. To hide the active filter select the Layout Options button Layout Options and select Hide Filter.
Group Footers
Group Footers
Footers provide a means to display supplementary mathematical information about the data in a given column, with respect to a group or the entire grid. Any action taken with one footer bar affects all footers, including the main footer (displayed by default at the bottom of the grid).

  1. Click on the Group Footers button Group Footers to toggle-on the feature. A footer bar is displayed for each group listed in the grid.
  2. Right-click on any group footer bar directly under the UnitPrice column (field), and select SUM Sum from the menu. A total for all the line items (sales) within each group is displayed on the respective group footers. The main footer displays a total for all groups combined (all line items within the grid).
  3. Right-click on the main footer bar, directly under the Freight column (field) and select MAX Max from the menu. The highest dollar amount paid for freight within each group is displayed on the respective group footers. The main footer indicates the highest dollar amount paid for freight, with respect to every line item (sale) in the entire grid.
  4. Expand the Salesperson: Andrew Fuller group to closer analyze how the figures in the footer relates to the individual line items within the group.
  5. Collapse the Salesperson: Andrew Fuller group.
  6. Right-click on any displayed value on a footer and select None from the menu. ll values previously displayed under the selected column no longer appear in the footer.
  7. Repeat the previous step one more time. The remaining values are removed from all footers.
  8. Click on the Group Footers button Group Footers again to toggle-off the feature. All group footer bars disappear, but the main footer bar remains at the bottom of the grid panel.

Groups can be created within groups, and even within subgroups (often referred to as nesting).

  1. Drag ProductName from the column headers and drop it on the right side of the Salesperson field (2nd Position) in the Group drop area. The data is regrouped by ProductName within the Salesperson groups.
  2. Expand Salesperson: Andrew Fuller.
  3. Expand the subgroups for Jack's New England Clam Chowder and Sir Rodney's Scones. This format allows closer analysis and better interpretation of the data.
  4. Collapse all groups.
TIP: Remember the Collapse All Groups button Collapse All Groups on the toolbar.
  1. Left-click on the Row Indicator for Salesperson: Andrew Fuller. The Row Indicator appears as a series of squares running vertically down the left side of the grid area. A small arrow Group Footers indicates the selected row.
